Organized Games Terms and Rules

Issued by StapuBox Private Limited. Applies to all games, leagues, and tournaments organized or hosted by
StapuBox itself, whether within a residential society, at or for a corporate organization, or at any other
general venue. This page contains both the Terms & Conditions and the Rules & Regulations that apply
where StapuBox Private Limited (“StapuBox”, “we”, “us”) itself organizes,
schedules, and administers a game, league, or tournament, as distinct from events created by users on the
platform. By registering for, joining, participating in, or paying for a StapuBox-hosted tournament or game,
you agree to be bound by both documents below.
Terms & Conditions
Legal terms: fees, refunds, liability, minors, indemnity
1. Scope & Hosting Context
- These Terms apply to every player, team, guardian of a minor participant, and guest who registers for or takes part in a StapuBox-hosted tournament or game.
- Society Tournament. Organized within a residential society (“Society”) and its associated venues, typically in coordination with the Society’s Apartment Owners Association (AOA) or facility management.
- Corporate Tournament. Organized for or with a company or organization (the “Host Company”), typically for employees or affiliated teams, at the Host Company’s premises or a venue it arranges.
- General Tournament. Any other StapuBox-hosted tournament that is not a Society Tournament or a Corporate Tournament, such as one held at a public or third-party venue.
- These Terms apply uniformly across all three Hosting Contexts. Where a rule differs by Hosting Context, that is stated explicitly in the relevant section; otherwise, the same rule applies to all three.
- Registration, payment, or participation constitutes acceptance of these Terms and of the accompanying Rules & Regulations. Where these Terms and the StapuBox Event Creation & Participation Terms address the same subject for a StapuBox-hosted tournament, these Terms prevail.
2. StapuBox as Organizer
For tournaments covered by these Terms, StapuBox acts as the organizer: it schedules, coordinates, and administers the games. This organizing role is limited strictly to the operation of the tournament and does not extend to any of the following:
- StapuBox does not own, manage, or control the venue where games are held, whether Society premises, the Host Company’s premises, or any other venue. Venue infrastructure and safety remain with the Society and its facility owner, the Host Company, or the venue owner, as applicable to the Hosting Context.
- StapuBox does not verify the ownership, licenses, structural safety, or fitness of any venue, and provides facilities on an as-available, as-is basis.
- StapuBox does not provide medical supervision, security, or insurance for participants.
- Association of a tournament with a Society, Host Company, or venue does not imply endorsement, sponsorship, or authority beyond the organizing arrangement actually agreed.
3. Minimum Participation
- Each sport requires the minimum number of players or teams set out in the Rules & Regulations for that tournament to be registered by the registration deadline.
- If that minimum is not met, the tournament for that sport will be cancelled and any fees already collected for it will be refunded in full, as no game will take place.
4. Tournament Fees, Surcharge & Refunds
- Entry or participation fees, and any surcharge for games held at a venue outside the tournament’s designated venue, are payable before the game unless otherwise agreed.
- Payment methods, due dates, and any surcharge amounts are communicated at registration. Non-payment may result in denial of participation.
- Once registration is confirmed, fees are non-refundable, except for a minimum-participation cancellation under Section 3.
- Outside-venue booking. Where a sport achieves the participation needed to justify it, a venue outside the tournament’s designated venue may be booked to host that sport. Once such a venue is booked, the fee for that sport becomes non-refundable. A player or team that withdraws after the booking forfeits the fee already paid; no further amount is payable, and the Organizer may reallocate the vacated slot.
5. Tournament Cancellation & Rescheduling
- The Organizer may modify, reschedule, or cancel any game, fixture, or the tournament, including changes to venue, date, time, or format, on account of weather, safety, facility availability, low participation, or other operational reasons.
- Such a change, reschedule, or cancellation does not create any claim for compensation or refund; fees remain non-refundable as set out in Section 4.
6. Decorum & Venue Access
- Participants and their guests must maintain the decorum of the hosting venue at all times and follow the conduct standards set out in the Rules & Regulations. Breach may lead to action by the Organizer, including involvement of the Society management, the Host Company, or the relevant venue authority, as applicable, where warranted.
- Venue access. Venue access is at the sole discretion of the venue authority applicable to the Hosting Context: the Society’s Apartment Owners Association (AOA) for a Society Tournament, the Host Company for a Corporate Tournament, or the venue owner or management for a General Tournament. Entry, parking, and facility rules of that venue must be respected at all times.
- Repair costs for willful damage to venue property, turf, or fixtures will be recovered from the responsible participant.
7. Corporate Participation & Employment Disclaimer
- This Section applies to a Corporate Tournament.
- StapuBox is not responsible for employment disputes, HR matters, workplace misconduct, internal disciplinary action, or team-selection decisions, even where StapuBox facilitates registration, scheduling, or communication on behalf of the Host Company.
- Participation of an employee in a Corporate Tournament does not create any obligation on StapuBox towards the employee’s employer, or vice versa.
8. Minor Participation
- This Section applies chiefly to a Society Tournament or a General Tournament open to a family or junior category. A Corporate Tournament is ordinarily limited to employees and other adult participants unless a junior or family category is expressly announced, in which case this Section applies in full.
- Participants aged 13 to 17 may take part only with parental or guardian consent and, where required, supervision. Parents or guardians assume full responsibility for the minor’s participation, offline interactions, and physical activity.
- Participants below 13 may take part only where a dedicated junior category is expressly announced for the tournament. Where such a category is announced, the parent or guardian must provide consent and, where required, supervision, and assumes full and sole responsibility for the minor’s participation, conduct, safety, and any consequences arising from play.
9. Extension of Indemnity
The indemnity given under the StapuBox Event Creation & Participation Terms extends, in respect of a StapuBox-hosted tournament, to the Society and its Apartment Owners Association (for a Society Tournament), the Host Company (for a Corporate Tournament), or the venue owner (for a General Tournament), and to the venue partner in each case.
10. Liability, Governing Law & Contact
Limitation of liability, governing law and jurisdiction, amendments, and contact details for StapuBox-hosted tournaments are as set out in the StapuBox Event Creation & Participation Terms and the main StapuBox Terms & Conditions at stapubox.com.

Rules & Regulations
Gameplay rules: eligibility, equipment, conduct, disputes
These Rules & Regulations govern participation in all sports tournaments and games organized or hosted by StapuBox, whether within a residential society, for a corporate organization, or at any other general venue (in each case, the “Venue”). By registering for or taking part in any game, every player, team, and guest agrees to follow the rules below in full. Registration is treated as acceptance.
1. Eligibility & Registration
- Only registered players may participate. Every player must complete registration through the StapuBox platform before the scheduled game.
- Players must provide accurate details at registration. Misrepresentation of identity, age, residency, or skill category may lead to disqualification.
- For age-restricted or category-based games, players must fall within the declared age or skill bracket. Proof may be requested. Minor participation is governed by the Terms & Conditions.
- A player may participate in multiple games provided they meet the correct category for each. Where games run in parallel, StapuBox will try to schedule a gap between them but does not guarantee it; managing overlapping timings is the player’s own responsibility.
2. Equipment & Gear
- Bring Your Own Equipment (BYOE). Players are responsible for arranging their own gear, kit, and personal protective equipment for every game.
- StapuBox does not guarantee the supply of any equipment. Where shared equipment is provided, it is offered as-is and players use it at their own risk.
- All equipment must meet the standard specifications of the sport and must be safe. The organizer may inspect and reject unsafe or non-standard gear.
- Players are responsible for the safe custody of their own belongings. StapuBox is not liable for loss, theft, or damage to personal equipment or property.
- Equipment for each sport will be the standard equipment used for that sport, and any variation in play or equipment will be announced before the tournament.
3. Venue & Scheduling
- Games are played at the venue confirmed at registration. Round-wise fixtures, including date, time, and court or ground allocation, are published after the draw and may change based on venue availability and match progress. The published schedule is final unless formally changed by the organizer.
- Outside-venue surcharge. Any game for which the venue falls outside the tournament’s designated Venue will carry an additional charge, communicated at registration and payable before the game.
- For games at an outside venue, travel, drop, and pick-up are the player’s own responsibility. Players must also follow all rules of that outside venue.
- Punctuality. Players must report on time. A delay of more than 20 minutes from the scheduled start may result in a walkover, forfeiture of the slot, or points awarded to the opponent, at the organizer’s discretion.
- Weather, safety, or facility conditions may force rescheduling; rescheduled games follow the same rules.
4. Match Conduct & Officiating
- Umpire and referee decisions are final. The decision of the appointed umpire, referee, or match official on the field of play is binding and not open to argument during the game.
- Each sport follows its standard recognized rules of play unless a specific variation is announced before the tournament.
- Players must be ready to start at the called time. Deliberate time-wasting, repeated dissent, or refusal to follow the official may lead to penalties or removal.
- Scoring, results, and standings are recorded by the organizer and are final once published, subject only to the disputes process below.
- Players must stop play if instructed by an official on safety grounds, and should disclose any injury or condition that may affect safety before playing.
5. Code of Conduct & Decorum
- Zero tolerance for abusive behavior. Abuse, foul language, threats, intimidation, physical aggression, or any conduct that disturbs the peace of the Venue is strictly prohibited. Players must maintain the decorum of the Venue at all times.
- Respect fellow players, officials, residents, staff, and property. Harassment or discrimination of any kind (on grounds of gender, age, religion, caste, or otherwise) will not be tolerated.
- Spirit of the game comes first. Play fair, accept results gracefully, and shake hands. Sledging that crosses into personal abuse is a punishable offence.
- No consumption of alcohol, tobacco, or any banned or intoxicating substance at the venue. Playing under the influence is prohibited.
- Keep the venue clean. Dispose of waste responsibly and do not damage Venue property, turf, or fixtures.
- Guests and spectators brought by a player must also follow this Code of Conduct.
6. Teams, Fixtures & Withdrawals
- Team composition, minimum players required to start, and squad size are as announced per tournament. A team short of the minimum at the start time may forfeit.
- Team size & player reshuffling. Team size and composition may be adjusted, and players may be reshuffled across teams, based on the level of participation received, to form optimum and balanced matches. Any such adjustment will be communicated before fixtures are finalized.
- Minimum participation for a sport to run. A minimum number of players or teams must be registered for a sport by the registration deadline announced for that tournament. Cancellation and refund treatment where this minimum is not met are set out in the Terms & Conditions.
- Fixtures, brackets, and group draws are decided by the organizer and are final. Byes, seeding, and tie-breakers follow the format published for the tournament.
- Withdrawals must be communicated to the organizer at the earliest. Fees and refunds are governed by the Terms & Conditions.
- A walkover is awarded when a player or team fails to appear, is not ready within the grace period, or is disqualified.
7. Disputes & Disciplinary Action
- On-field disputes are resolved by the match official, whose decision is final. Off-field disputes (eligibility, scheduling, conduct) may be raised with the organizer within the time window announced for the tournament.
- The organizer may issue warnings, deduct points, suspend, disqualify, or ban a player or team for breach of these rules or the code of conduct. Serious misconduct may lead to removal from current and future tournaments.
- The organizer’s decision on disciplinary matters is final and binding.
8. Amendments & Acceptance
- The organizer may amend these Rules & Regulations at any time. Material changes will be communicated; continued participation constitutes acceptance.
- These Rules & Regulations cover how games are played and how players must conduct themselves. Fees, refunds, risk, liability, minor participation, and media rights are governed by the StapuBox Hosted Games & Tournaments Terms & Conditions, which prevail on any legal or liability matter.
